Today, I'm joining Tamara Gordon for AI for Every Business: From Experimentation to Adoption, moderated by Natasha Bowles. We'll talk about the difference between experimenting with AI and actually using it to run a better business. My starting point is simple: Start with the work, not the AI tool. Find the bottleneck. Find the repetitive task. Find where time, money, or opportunity is being lost. Then decide where AI belongs. The job was done right. We still lost the account. The failure didn't happen during the work. It happened in the handoff. When I was running my commercial cleaning company, I learned this the hard way. A client would mention something on a walkthrough — a door that needed extra attention, a schedule change, a concern. Somewhere between that conversation and the crew showing up, the detail died. Not because anyone was lazy. Because the information lived in one person's head, one text thread, one clipboard. The cleaning was never our problem. The transitions were. That's true in almost every service business I talk to now: Intake to quote. Quote to schedule. Job complete to invoice. Complaint to resolution. Each handoff is a place where money, trust, and time quietly leak out. Here's what changed things for us: we stopped trying to hire better memories and started documenting the transitions. If it repeats, it gets documented, delegated, or automated. In that order. We scaled that company — not because we cleaned better than everyone else, but because information stopped dying between steps. Most owners look at their operation and see a people problem or a tool problem. Look closer. It's usually a handoff problem. And you can't automate a handoff you've never written down. Systems beat willpower. Every time.

THE FOUNDER’S AI STACK (2026): 4 TOOLS TO STOP THE OVERWHELM Most entrepreneurs use AI like a random idea generator. The real move? Building an "Operator’s Stack" where your tools talk to each other so you can stop being the bottleneck. If you’re not using these by now, you’re already behind. Most founders think AI is about "chatting." In 2026, it’s about building a system that works while you sleep. Full breakdown in the comments ↓

3: The Studio (Notion AI) The Move: Stop switching tabs. Notion AI is the "underlying layer" of your operations. It’s where your notes, meeting captures, and databases live together. Real World Use: Record a messy 5-minute brain dump after a sales call → Have Notion AI turn it into a structured Scope of Work and a task list for your team.

4: The Orchestrator (Zapier) The Move: This is the glue. It connects "The Brain" to "The Studio." By 2026, Zapier Agents handle multi-step tasks across 8,000+ apps without you lifting a finger. Real World Use: A new lead hits your site → Zapier sends it to ChatGPT to qualify → ChatGPT drafts a personal reply → Notion notifies you to hit "Send."
